What we collect when you register or apply, why we need it, and how you stay in control of it.

Last updated 26 October 2026

Jewels Asia brings India's jewellery houses to Ludhiana on 5–6 February 2027. To do that we need a few details from the people who visit and the houses who exhibit. This policy explains what those details are and what happens to them.

Who we are

Jewels Asia organises the Jewels Asia jewellery exhibition and runs this website. For the personal data described here, we are the data fiduciary under India's Digital Personal Data Protection Act, 2023. That means we decide why and how your data is used, and we are responsible for it.

You can reach us about anything in this policy at hello@jewelsasia.in.

What we collect

We only collect what you choose to send us through the forms on our contact page. Both forms open your own email app with your details written out, so nothing reaches us until you press send.

When you register to visit

  • Your name, mobile number, email address and city.
  • The day you plan to visit and how many people are coming with you.
  • If you choose to tell us, what you are shopping for and the month of your occasion.

When you apply to exhibit

  • Your brand or company name, the name of the person we should speak to, their mobile number and email address, and your city.
  • The kinds of jewellery you would show.
  • If you choose to tell us, your years in business, preferred booth size, website or Instagram, and any other note.

What arrives with an email

Because your form reaches us as an email, we also receive what any email carries: the address you send from, the time it was sent and anything you add to it yourself. Like any website, ours is served by a hosting provider that keeps short-lived technical logs, such as IP address and browser type, to keep the site secure. These logs are not linked to your name or your form.

Why we use it

We use your details only for the purpose you sent them for, and with your consent, which you give when you tick the box on the form.

  • Visitors: to register you, send your entry pass to your phone, tell you about changes to dates, timings or the venue, and plan the floor for the number of people expected each day.
  • Exhibitors: to review your application, check your credentials, talk to you about booths and the floor, and, once you are confirmed, list your house on the Exhibitors page.

We do not sell your data, and we do not use it to send you marketing for anything other than Jewels Asia. Every message we send about future editions lets you stop further messages.

Who we share it with

We share your details only where we need to in order to run the exhibition:

  • Our email and messaging providers, who deliver your pass and our messages to you.
  • The venue and our security partners, who receive the names on the guest list for entry on the day.
  • For exhibitors, the details you would expect to be public once you are confirmed: your house's name, city and the jewellery you show.

Visitor details are never passed to exhibitors. If you give your details to a house at its booth, that is between you and the house, under its own privacy terms.

We may also share data where the law requires it, for example when a court or government authority asks for it under a valid legal order.

How long we keep it

We keep visitor registrations for twelve months after the exhibition, so we can answer questions about your visit and tell you about the next edition if you want us to. Exhibitor applications and the correspondence around them are kept for three years, or longer where tax and accounting law requires it. After that we delete the data or remove anything that identifies you.

If you withdraw your consent, we delete your data sooner, unless the law requires us to keep it.

How we protect it

Your details are kept in accounts protected by strong passwords and two-step sign-in, and only the people who run registration and exhibitor relations can see them. This website is served over an encrypted connection. If a breach ever affects your data, we will tell you and the Data Protection Board of India as the law requires.

Your rights

Under the Digital Personal Data Protection Act, 2023, you can:

  • Ask what personal data we hold about you and how we have used it.
  • Ask us to correct, complete or update it.
  • Ask us to delete it, or withdraw the consent you gave, as easily as you gave it.
  • Name someone to exercise these rights for you if you are unable to.
  • Raise a complaint with us, and if we do not resolve it, with the Data Protection Board of India.

Write to hello@jewelsasia.in from the address you registered with and we will reply within 30 days.

Cookies and analytics

This website does not set advertising or tracking cookies, and it does not use third-party analytics that follow you across other websites. Your browser may keep copies of images and files so pages load faster on your next visit. These stay on your device and are not used to identify you.

Children

Our forms are for adults. Children are welcome at the exhibition with a parent or guardian, who registers on their behalf. We do not knowingly collect data from anyone under 18.

Changes to this policy

If we change how we use your data, we will update this page and the date at the top. If a change affects data you have already given us, we will tell you before it applies.
